NOTICE TO CAREGIVERS AND JOB SEEKERS: This policy explains how Ona Care Technologies collects, uses, and shares your information when you apply for caregiver positions through our platform — including through our AI-powered screening process and Responsiveness Score. Please read it carefully before submitting your information.
1. About Ona and This Policy
Ona Care Technologies, Inc. ("Ona," "we," "our," or "us"), located at 1527 19th Street, Suite 220, Bakersfield, CA 93301, operates a B2B caregiver recruitment platform that connects pre-screened caregiver candidates with home care agencies. We act as an independent data controller — not a data processor — with respect to the personal information we collect through our platform, advertising, and screening processes.
This Privacy Policy applies to the website located at myonacare.com (the "Website"), our caregiver intake and screening platform, our AI-powered voice screening system, and all related services (collectively, the "Service"). It describes how we collect, use, share, and protect personal information, and explains your rights with respect to that information.

2. Our Role as an Independent Data Controller
Ona is an independent data controller. This means we determine the purposes and means of processing your personal information on our own behalf — we are not acting as a software vendor or data processor on behalf of any home care agency.
Ona independently funds and manages its own caregiver sourcing and recruitment operations, including advertising on platforms such as Meta (Facebook and Instagram) and Indeed. When you respond to an Ona advertisement or submit your information through our intake process, you are entering Ona's platform directly. Ona — not any individual home care agency — determines how your information is collected, screened, scored, and used.
Home care agencies that partner with Ona receive candidate profiles that Ona has independently sourced, screened, and evaluated. Those agencies do not direct or control Ona's data collection, screening methodology, or scoring systems.
3. Information We Collect
3.1 Personal Information You Provide
When you apply for caregiver positions or otherwise use our Service, we may collect:
Full name, mailing address, email address, and phone number
Work history, certifications, and professional qualifications
Government-issued identification (e.g., driver's license or state ID) for identity verification
Responses to application and screening questions
Audio recordings and transcripts from our AI-powered voice screening interactions
Resume and any documents you upload
Payment information (processed securely through our payment processors)
3.2 Behavioral and Performance Data
As part of our platform operations, we collect behavioral signals that inform our proprietary Responsiveness Score and matching systems, including:
Response times to outreach and screening requests
Application completion rates and engagement patterns
Interview scheduling behavior, including whether appointments are kept, rescheduled, or missed
Communication patterns and responsiveness across our platform interactions
Outcomes reported by partner agencies (e.g., interview attendance, hire status)
This behavioral data is collected across all agencies in our network. It is not siloed to any single agency relationship and forms the basis for your Responsiveness Score (described in Section 6 below).
3.3 Automatically Collected Data
When you access our Website or Service, we automatically collect certain non-personal and technical data, including:
IP address, device type, browser type, and operating system
Pages viewed, time spent on pages, and navigation patterns
Referring URL and search terms
Cookie and tracking pixel data (see Section 8)
We may also aggregate and anonymize personal data to produce statistical insights that do not identify any individual.

To screen caregiver candidates using automated and human-assisted processes

To match you with home care agencies in our partner network

To send you information about job opportunities and platform updates (you may opt out at any time)
To conduct research and analysis to improve our screening methodology and matching accuracy
To comply with applicable laws and legal obligations
To detect and prevent fraud, misuse, or violations of our Terms of Use
In connection with a merger, acquisition, or sale of all or a portion of our business
5. How We Share Your Information
5.1 With Home Care Agency Partners
We share your candidate profile — including your application materials, screening results, and Responsiveness Score — with home care agencies in our partner network for the purpose of facilitating your placement. Agencies receive profiles curated by Ona and do not receive unrestricted access to your raw screening data or underlying behavioral signals.
5.2 With Third-Party Service Providers
We share personal information with trusted third-party vendors who assist us in operating the Service. These vendors are contractually bound to use your information only for the purposes of providing services to Ona and are not permitted to use your data for their own purposes. 6. Responsiveness Score and Automated Processing
Ona uses an automated scoring system called the Responsiveness Score to evaluate caregiver candidates. This score is calculated based on behavioral signals gathered throughout our intake and screening process, including response times, engagement patterns, screening interactions, and — where available — outcome data reported by partner agencies.
The Responsiveness Score is used to:
Prioritize candidates for presentation to home care agencies
Assess candidate reliability and likelihood of successful placement
Improve our matching and screening algorithms over time
The Responsiveness Score is a proprietary measure developed by Ona. It is not the sole basis for any hiring decision — home care agencies make their own independent hiring determinations. However, your score may affect whether and how quickly your profile is presented to agencies in our network.
You have the right to request information about how your Responsiveness Score was calculated and to contest results you believe are inaccurate. To do so, please contact us at info@myonacare.com. We will review your request and respond within 30 days.
Your behavioral data used to calculate the Responsiveness Score is collected across all agencies in our partner network. This cross-agency data collection is a core feature of our platform and is disclosed here and in our Terms of Use.
7. Google Services
Google Analytics
We use Google Analytics to understand how visitors interact with our Website. Google Analytics uses first-party cookies to collect anonymous usage data (such as pages visited, time on site, and referring URLs). This information is transmitted to Google's servers and used to generate aggregate reports. Google Analytics does not identify individual visitors. Google Ads and Conversion Tracking

10. Data Retention
We retain your personal information for as long as necessary to provide the Service, fulfill the purposes described in this Policy, and comply with our legal and tax obligations. Specifically:
Candidate profiles and application data are retained for up to three (3) years from the date of last activity, after which they are deleted or anonymized.
Responsiveness Score and behavioral data may be retained in anonymized and aggregated form indefinitely for research and model improvement purposes.
Financial and transactional records are retained as required by applicable law.
You may request deletion of your data at any time by emailing info@myonacare.com. Most requests are completed within 30 days. We may retain certain data in anonymized form or as required by law.
11. Security
The security of your personal information is important to us. We implement reasonable physical, technical, and administrative safeguards to protect your data from unauthorized access, disclosure, or misuse. Access to personal information is restricted to employees who require it to perform their job functions.
In the event of a data breach that is likely to result in harm to individuals, Ona will notify affected individuals without undue delay and will report the breach to relevant authorities within 72 hours of becoming aware of it, as required by applicable law.
No transmission over the Internet is completely secure, and we cannot guarantee absolute security. By using our Service, you acknowledge and accept this inherent risk.
12. Children's Privacy
Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected personal information from a minor, we will take reasonable steps to delete it promptly. 13. International Users and EU/UK Compliance
Our servers are located in the United States. By using the Service from outside the United States, you consent to the transfer of your personal information to the United States.

14. Communications Consent
By providing your contact information, you consent to receive communications from Ona, including phone calls, SMS/text messages, and emails. Standard message and data rates may apply. You may opt out at any time by emailing info@myonacare.com, clicking "unsubscribe" in any email, or replying STOP to any text message.
We will not share your phone number or email address with third parties for their own marketing purposes without your consent.
